How to Manage Expectations and Pace in The Search Economy

In π“π‘πž π’πžπšπ«πœπ‘ π„πœπ¨π§π¨π¦π², speed and agility are often touted as the keys to success. However, striking the right balance between swift execution and maintaining quality can be a delicate dance. David, the CEO of Pneuma, shares his insights on managing expectations, fostering a productive culture, and navigating the nuances of client relationships – all while embracing the need for speed.

One of the fundamental challenges in any collaborative endeavor is setting appropriate deadlines and managing expectations across team members and clients. David recalls a college experience that shapes his perspective on time management:

"There's a guy, that I I just knew on campus. His name was Hank. I might send this to him because he'd find it funny, but I knew he had a paper due in, like, 12 hours. Like, Hank, you know what that paper? And he goes, oh, I haven't started yet. I'm like, dude, it's due in, like, 12 hours. And, like, Hank's like this guy that I looked up to, still do, but it's like, dude, it's due in 12 hours. Like, what do you what do you mean you haven't started? He's like, I don't know. It's only gonna take me, like, 6 hours. So I'll start in probably 5 to 6 hours, and I'll I'll write it and turn it in."

This anecdote underscores the importance of clear communication and setting realistic expectations, both internally and externally. While some individuals thrive under pressure, consistently missing deadlines can erode trust and hinder productivity.

Maintaining a Consistent Pace

At Pneuma, David emphasizes the importance of maintaining a consistent pace over chasing perfection. "We are not going for perfect. And quite frankly, we'll never get too perfect anyway," he explains. The key is to prioritize quality and results while finding a sustainable rhythm for consistent output.

"I would much rather us get over that initial hump of having something be a true MVP or a minimal deliverable just to get the ball rolling. But if something takes 3 hours, do not let it take 3 weeks. Do not let it take 3 days. Let's only let it take 3, maybe 4 hours and get it done."

By challenging the team to increase their pace over time, Pneuma fosters an environment of continuous improvement, where efficiency and excellence can coexist.

Fostering a Productive Culture

Speed and agility are not just buzzwords at Pneuma; they're woven into the very fabric of the company's culture. David emphasizes the importance of embracing a mindset of continuous improvement, where decisions are made swiftly, and actions are taken promptly.

"We might feel a little slow in deciding the direction that we wanna take. Once we decide the direction that we take, we move really, really quickly."

Adapting to remote and hybrid work environments can pose challenges in maintaining a cohesive culture. However, David sees this diversity as an opportunity to strengthen Pneuma's culture by identifying and addressing potential weaknesses.

The SEO Patience Game

In the realm of Search Engine Optimization (SEO), patience is a virtue. David acknowledges that successful SEO campaigns require a significant time commitment, often taking several months to yield tangible results. Managing client expectations during the early stages becomes crucial.

"So all good things come with time, is the easiest way to state it, but there's a little bit of a delayed gratification with SEO as well. And that's where while we're waiting for those results to compound, we're gonna do everything in the moment as quickly as possible to make sure that we can get the job done once those results start coming in."

By setting realistic timelines and maintaining a consistent pace, Pneuma aims to maximize efficiency while ensuring that clients understand the inherent nature of SEO and the importance of staying the course.

Adapting to Client Needs

In a client-facing business, addressing client needs and priorities can often disrupt workflow and productivity. David acknowledges this challenge and emphasizes the importance of effective communication and adaptability.

"The client situation and the client nature of our business always comes first, and that can definitely, you know, throw you for a little bit of a ride within a day, but that's never a bad thing."

Balancing client priorities with internal goals requires a delicate balance. Pneuma's solution? The introduction of Client Success Managers (CSMs), whose primary role is to foster strong client relationships, understand their goals, and solve problems at a high level.

"You get somebody that's very focused on the external relationship. You get somebody really focused on thinking about that account 247. Used to be the same person, now it's 2. And I think the biggest advantage with 2 is that we can go that much quicker, that much faster for clients, and have that much more output."

By streamlining communication and delegating responsibilities, Pneuma aims to enhance both speed and quality, ultimately delivering better results for their clients.

In the relentless pursuit of growth and success, embracing the need for speed is paramount. However, as David's insights illustrate, true success lies in striking the delicate balance between swift execution and maintaining quality. By setting realistic expectations, fostering a productive culture, navigating the nuances of client relationships, and embracing a mindset of continuous improvement, businesses can harness the power of speed without compromising excellence.
